When we talk to business owners and managers about the challenges they face in today’s super-competitive world, there are always some recurring themes.

One is the “how do we become more efficient, how do we make more time to achieve more every day?” conversation. Then there’s the “do we have enough talented people in the building – and if not, how do we attract the talent we need?” conundrum.

Happily, we can usually suggest ways in which technology can help improve business efficiency and productivity - and help attract and retain the talented people every business needs to succeed! One way is through the use of collaboration tools.

These tools allow employees to work together on a single, cloud-based platform, no matter where they are in the world. Standard features include open access calendars, file and document sharing, collaborative, simultaneous working by multiple participants and an instant messaging service.

A great example is Microsoft Teams, which is part of the Office 365 package. There are others – such as Slack (a very good app, though I’m not sure about the name!) so it always pays to look around to see what’s best for you.

But if you’re already using Office 365 you can move onto the Teams app and use it just like Word, PowerPoint, Excel and OneNote. It’s secure, simple to use and has all the qualities you’d expect from a Microsoft product. You can sign in with the same Office 365 username and password and create and stream meetings which link directly to your Outlook calendar.

Platforms like Teams enable you to bring the right combination of skills together in a secure and controlled environment, to bounce ideas around and find solutions in collaboration, whether that’s on a bid document for a key customer or a new sales and marketing strategy. It’s inexpensive, easy to manage and gives you another way to assess the contributions of your people.

By pooling resources in this way and providing a forum for focused, high value teamwork, efficient use of collaboration tools have been shown to increase employee productivity by up to 20%, and reduce time spent on lower value admin tasks by almost two hours a day.

Collaboration tools help support a progressive, flexible and agile work environment and help produce motivated and engaged people. These are important considerations for today’s top talent, as they decide whether to join your business or stay with you for the long term.

Just as they rely on their devices and tools to stay connected in their home and social lives, today’s talented and ambitious people want instant access to colleagues, documents, systems and technology, to work quickly and productively, whatever the time of day, wherever they are in the world.
